Downtown Crawlers — Refund & Service Policy

Effective: February 2, 2026

Downtown Crawlers is committed to delivering safe, fun, well-run events — including bar crawls with brunch and our new Pirates Cove festival zones. Because our events rely on many partner venues, outdoor conditions, and local safety rules, please read the following policy so you know what is and is not refundable or replaceable.

1. General Principles

  • Tickets represent access to an event experience that includes partner venues, scheduled programming, and perks. Many event elements are delivered by independent venues and third-party suppliers, so some aspects are outside Downtown Crawlers’ direct control.

  • We will always prioritize guest safety and comply with venue and city regulations. In certain circumstances this may require schedule or venue changes.

2. Refund Eligibility — What We Do Not Refund

Refunds are not available for the following situations (unless otherwise stated in Section 3):

  • No-shows or failure to attend.

  • Missing mandatory event check-in or failing to follow published check-in instructions.

  • Lost, stolen, or misplaced wristbands. Wristbands are required for participation and are non-replaceable.

  • Being denied entry to a venue due to venue policies, local capacity limits, dress code, personal conduct, or other venue decisions.

  • Perks that run out (for example: welcome shots, food items, or bar promos) — these are provided while supplies last and are controlled by each venue.

  • Venue-level service or facility conditions (including restroom maintenance, lines, and temporary shortages).

  • Changes in weather or crowd levels that cause delays, long lines, or heavy demand at venues.

  • Any dissatisfaction that arises from expected conditions at large, citywide events (e.g., high attendance, long waits).

  • Add-on or third-party offers that are not accepted by the venue (subject to investigation, see Section 5).

  • Travel disruptions, accidents, personal emergencies, or other personal circumstances that prevent attendance.

3. Limited Exceptions & Organizer Remedies

We aim to be fair. The following limited remedies may apply at Downtown Crawlers’ discretion:

Full cancellation by Downtown Crawlers (event cancelled completely)

  • If Downtown Crawlers cancels an entire event, purchasers will be offered a full refund or the option to transfer to a comparable future event.

Significant, organizer-caused changes

  • If Downtown Crawlers materially changes the event in a way that removes core features from your purchased ticket (for example: we cancel an entire paid festival zone that you purchased separately) and we cannot offer comparable replacement programming, we will offer a pro-rated refund or credit.

  • For clarity: minor schedule shifts, venue swaps, or changes to the program do not automatically qualify for refunds.

Outdoor festival / Pirates Cove specifics

  • Crawl HQ (included with crawl tickets): If Crawl HQ closes for the entire day due to organizer cancellation (not short weather pauses), we will consider a pro-rated credit for affected ticket holders.

  • Drop Zone (separately ticketed DJ festival): If Drop Zone is cancelled or runs for less than 50% of its scheduled hours due to organizer decisions, we will offer a partial refund or credit for that Drop Zone ticket at management’s discretion. If the Drop Zone runs for 50% or more of scheduled hours, no refund will normally be issued.

  • All weather/safety decisions are made with guest safety first; any credits or partial refunds remain at Downtown Crawlers’ sole discretion and will be communicated promptly.

4. Brunch, Welcome Shots, & Perks

  • Brunch: Brunch is provided by individual brunch venues during the advertised timeframe. Brunch ticket holders must start at the brunch venue listed on their ticket. If a venue opens late or runs low on certain items, refunds are not available, but we will investigate significant issues.

  • Welcome shots & perks: These are provided while supplies last and at venue discretion. Not every venue is guaranteed unlimited quantities; welcome shots are redeemable at participating venues and may be limited to one per location per wristband as advertised.

  • After parties, rooftop events, contests: Access and execution depend on venue availability and staffing. These are subject to change.

5. Ticket Transfers, Duplicate Purchases & Add-Ons

  • Ticket Transfers: Tickets are transferable. If you cannot attend, you may transfer your ticket to another person. Contact support for name-change instructions.

  • Duplicate purchases: If you accidentally purchased duplicate tickets, contact support immediately. Refunds for duplicate purchases will be considered if requested more than 72 hours before the event start; after that, duplicate refunds are at management discretion.

  • Add-ons / venue promotions: Add-ons are venue-specific. If a venue declines an add-on at the door, we will investigate with the venue. If the add-on was marketed and sold in error, we will issue a refund for that add-on component upon verification.

6. Lost Wristbands & Replacements

  • Wristbands are required for all event access and perks. We do not replace lost or stolen wristbands. If a wristband is lost, the ticket holder must purchase a new ticket at full price to re-enter the event. Treat wristbands like cash.

7. Capacity, Venue Entry & Cover Charges

  • Venues reserve the right to refuse entry or enforce capacity limits and may change door policies to meet safety or regulatory needs. Downtown Crawlers cannot override venue decisions. Where advertised, we provide “free cover where applicable,” but venues may enforce covers or restrict access if local conditions require it.

8. Weather & Safety Policy

  • We prioritize safety. For outdoor festival zones (Pirates Cove), we may alter hours, close a zone early, or cancel programming due to wind, rain, cold, lightning, or other unsafe conditions. These decisions are final and made for guest safety.

  • Weather-related closures are generally not eligible for refunds, but see Section 3 for limited exceptions relating to significant cancellations or loss of core programming.

9. How to Request a Refund or Report an Issue

  • Email: support@downtowncrawlers.com with subject line Refund Request — [Event Name]. Include your name, order number, ticket type, and a clear explanation. Attach photos or receipts if relevant.

  • Requests for refunds for organizer cancellations or verified add-on errors will be reviewed within 7–14 business days. If a refund is approved, processing may take up to 10 business days.

  • For non-refund concerns (perks, venue experience), we encourage you to first provide details so we can investigate and address partner performance.

10. Alternative Compensation

  • At management discretion, Downtown Crawlers may offer alternative compensation (credits, complimentary tickets, or promotional offers) for verified service issues. Issuing alternate compensation is not an admission of liability and is provided to maintain goodwill.

11. Chargebacks & Disputes

  • Repeated chargebacks without first contacting us may be treated as abuse of payment services. If you believe your charge is incorrect, please contact support first so we can resolve it. We reserve the right to pursue appropriate remedies for fraudulent or abusive claims.

12. Legal & Miscellaneous

  • We reserve the right to modify this policy at any time. The version posted on our website is the authoritative policy for current events.

  • These terms are governed by the laws applicable to the event organizer’s location.
